These Terms of Service (“Terms”) govern your use of TradeDoc AI, the AI-assisted trade documentation platform available at tradedoc.co.uk (“the Service”). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Service Description
TradeDoc AI provides an AI-assisted tool that helps UK tradespeople (including plumbers, electricians, gas engineers, and builders) generate draft trade documents, including quotes, site survey and inspection reports, and compliance certificate drafts (such as CP12, Minor Works, and Job Completion certificates).
2. Account Responsibility
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
You must notify us immediately of any unauthorised access to or use of your account at josh@tradedoc.co.uk.
You must provide accurate, complete, and up-to-date information when registering and using the Service. Accounts with false or misleading information may be suspended without notice.
3. Acceptable Use
You agree not to use the Service to:
- •Engage in any unlawful activity or facilitate fraud
- •Generate documents for work you did not perform or do not intend to perform
- •Submit false, misleading, or fraudulent customer information
- •Reverse-engineer, copy, scrape, or reproduce any part of the platform
- •Attempt to circumvent access controls, monthly document limits, or paywalls
- •Upload or transmit harmful code, malware, or disruptive content
- •Use the Service in a way that violates any applicable UK law or regulation
4. Free Tier & Pro Subscriptions
Free tier
New users receive a Free account with access to every document type (quotes, CP12, EIC, EICR, Minor Works, PAT, Scaffold Handover), customer signature flow, WhatsApp send, and a vault with 90-day rolling access. Free accounts are capped at 100 generated documents per calendar month and carry a small "Generated with TradeDoc" footer on PDFs. No payment card is required to sign up. The Free tier is offered indefinitely.
Pro subscription
Pro removes the 100/month cap and adds custom branding on PDFs, one-tap customer email, vault access beyond 90 days, and priority support. Prices are inclusive of VAT where applicable. Plans may be updated over time; any price changes will be communicated in advance.
Billing & renewal
Pro subscriptions are billed in advance on a monthly or annual basis as selected at checkout and renew automatically. You may cancel at any time from your account dashboard; cancellation takes effect at the end of the current billing period and your account reverts to the Free tier.
Refunds
We do not offer refunds for partial subscription periods. If you believe you have been charged in error, contact josh@tradedoc.co.uk within 14 days of the charge.
5. No Professional Advice — Templates Not Legal Advice
TradeDoc AI provides software tools only — not professional, legal, regulatory, or technical advice. Documents generated by the Service are AI-assisted drafts and must be reviewed by a suitably qualified individual before being issued to any customer or submitted to any authority. We do not warrant that any generated document meets any specific regulatory requirement, building regulation, or industry standard.
The Regulation Radar surfaces UK regulations TradeDoc tracks for its tradie, landlord and small-employer audience. Coverage is best-effort and primarily focused on England — we may miss things, especially newly created bodies, late- breaking secondary legislation, and devolved-government regulations. Each radar entry links to the canonical statute on legislation.gov.uk or the relevant government landing page; that source — not the radar entry — is the legal authority. Where a complex or contested matter arises, take advice from a qualified solicitor or your trade body.
Templates generated by TradeDoc are built against the statutory section cited on each template page. They are tools to help you produce a compliant document; they are not legal advice. The person issuing the document — the engineer, employer, landlord or director — remains responsible for the content and for verifying it reflects their specific situation.
6. Intellectual Property
The TradeDoc AI platform — including its software, design, AI models, templates, and branding — is owned by TradeDoc AI and protected by copyright and other intellectual property laws.
You retain full ownership of the document content you create using the Service. By using the Service, you grant TradeDoc AI a limited, non-exclusive licence to process and store your content solely for the purpose of providing and improving the Service.
You may not reproduce, distribute, or create derivative works from any part of the TradeDoc AI platform without our prior written consent.
7. Termination
You may close your account at any time from your account dashboard or by contacting us at josh@tradedoc.co.uk.
We reserve the right to suspend or terminate your account — with or without notice — if you breach these Terms, engage in fraudulent activity, or use the Service in a manner that could harm other users or the platform.
On termination, your access to the Service ceases immediately. Document data associated with your account will be deleted within 30 days, subject to legal retention obligations.
8. Limitation of Liability
To the maximum extent permitted by applicable law, TradeDoc AI shall not be liable for any indirect, consequential, incidental, special, or punitive damages, including loss of profits, loss of data, or business interruption, arising out of or in connection with your use of or inability to use the Service.
Our total aggregate liability to you for any claim arising under or in connection with these Terms shall not exceed the total amount paid by you to TradeDoc AI in the three months immediately preceding the event giving rise to the claim.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited under English law.
9. Indemnity
You agree to indemnify, defend, and hold harmless TradeDoc AI and its officers, employees, and agents from and against any claims, damages, losses, costs, and expenses (including reasonable legal costs) arising from: (a) your use of the Service in breach of these Terms; (b) any content you submit through the Service; or (c) your violation of any applicable law or third-party rights.
10. Changes to These Terms
We may update these Terms from time to time. The “Last updated” date at the top of this page will reflect any changes. For material changes, we will notify registered users by email at least 14 days in advance. Continued use of the Service after updated Terms take effect constitutes acceptance of the revised Terms.
11. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
